What is an Inventory?

Inventories are an essential piece of documentation. The inventory of contents and schedule of condition is prepared to avoid any misunderstandings at the end of the tenancy.  Without such safeguards it is impossible to solve disputes fairly and to resolve deposit issues.

The Inventory Report provides a description, sate and condition of the property together with a schedule of condition of the décor, flooring, windows, kitchen, bathrooms and a schedule of condition of the garden and garage where applicable.  We understand the stress and difficulties that landlords and tenants can undergo when disputing any dilapidations and damage, so as an independent company we are impartial and unbiased in our in-depth reports which helps to reduce the disputes between the two parties.

Why do I need an Inventory?

Renting a property can be a tricky business for both tenants and landlords.  A poorly prepared Inventory can prove to be costly for the landlord and make it impossible to determine any loss or damage to the property.  By using a professional inventory service for the inventory, Check In and Check Out protects both parties and saves time, money and hassle.

What is noted on an Inventory?

The inventory produced by Annerel is a legal document, and forms a contract between the landlord and the tenant.  This is in the interest of both parties.  There is less problems of dispute or problems when the tenant leaves the property if everything is detailed accurately and efficiently in the beginning.

The Inventory will list everything in the property.  This includes the locks, doors, ceilings, walls, light fittings, flooring, curtains, smoke detectors, door frames, plug sockets, door handles and extractor fans to name but a few.

As well as these fixtures and fittings any furniture belonging to the landlord will also be included with descriptions and digital photographs of the condition.  Any marks, chips or damage is included next to each description, so the tenant is not responsible for any damage already caused.  Annerel will also include utility readings of the gas, water and electricity where possible.

Sample Inventory Report

Annerel offers the Check In service to check tenants into the property at the beginning of the tenancy with an unbiased viable inventory report.  The inventory clerk with go through the report with the tenant and note down any amendments of areas of concern the tenants may have.  A list of keys will be checked and agreed with the tenant, meter readings confirmed and two copies of the inventory will be signed and checked by the tenant, whereby one will be sent back to the landlord/and or agent, the other retained by the tenant.  Annerel will also maintain a master copy. Our inventory clerk will also inform the tenant of their obligations with regards to the Check Out procedure.

Annerel takes a detailed and accurate record of the contents and condition of the property before it is rented.  Our inventory clerk will then return to the property with the new tenants before the commencement of the tenancy to go through the inventory, i.e. the Check In. 

Sample Check-In Report

Annerel provide a Check Out report, which after visiting the vacant property comparing the original check-in report and inventory to the present condition and report the findings.  It is important for the tenant to attend the check out to agree any discrepancies or variations, such as cleaning, damage or breakage, missing items, excessive wear and tear, and condition of gardens where appropriate.  Should the tenant not attend the check out then the inventory clerks assessment is final.

When the tenancy ends our inventory clerk will return to the property to compare the condition with the end of tenancy condition i.e. the Check Out.  The full refund of the tenanat’s deposit is usually dependant upon the state in which the property is left, excluding fair wear and tear.

The landlord or agent should provide us with any information to works carried out during the tenancy either by the tenant or the landlord, and if items were removed or added by the landlord and also any property maintenance such as leaks that may have occurred.

All of this will be taken into account when compiling the Check Out report. The check out report can also include advice, recommendation on who is responsible for any damages, discrepancies or action required if requested by the Property Managers of Lettings Agents, the Properties Representatives or individual Landlords where properties are non managed.

What are the advantages of using Annerel’s Services?

Instructing Annerel can also ensure that any disputes at the end of the tenancy are resolved fairly, for instance as our inventories are so detailed with pictures also being taken of specific damage, we can give advise on matters relating to stains and damages as to whether they are fair wear and tear or in fact should any compensation be payable by the Tenant. These costings are based on for example, how long was the tenancy, how old was the carpet, quality of the carpet etc.
